What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

This website uses WordPress Forms and the plugins Booking Calendar and Simply Schedule Appointments. If you schedule an appointment or submit a request for more LLSR information, your form submission may be saved indefinitely on the site and in email records. If you want your data eliminated, please contact the current LLSR administrator. For more information about each feature, please visit the websites below.

Cookies

If you leave a comment on our site, you may agree to save your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. This site’s managers do not use data analytics for actively tracking site viewer demographics or usage frequency, and WordPress (the site host) does not use data analytics. If you find that this site is tracking your data, please contact the current LLSR administrator immediately.

Who we share your data with

Your data is only available to certain employees of the University of Shimane. If you request a password reset, your IP address will be included in the reset email.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

By default, your data is sent to the email account for the LLSR administrator at the University of Shimane. If you schedule an LLSR appointment with a different teacher, your information is sent to that teacher instead. In addition, visitor comments may be checked through an automated spam detection service.

Your contact information

Your contact information is used by University of Shimane employees to reply to your requests. This information is limited to your name and email address, unless you voluntarily provide additional information in notes.

Additional information

How we protect your data

All data collected from this website is stored in password-protected institutional accounts that are regularly monitored by IT professionals. We recognize that your information is valuable. We will never ask you for sensitive personal data such as MyNumber, health insurance, national ID, date or place of birth, family or residence status, or payment information. If you receive a request for this information from an LLSR account, please contact the university immediately.

What data breach procedures we have in place

We use a combination of human and machine surveillance to monitor for suspicious site access. In the event of a data breach, all current and affected university students will be notified by email and by any other necessary means.

What third parties we receive data from

We receive your data from the booking calendar plugin, from the WordPress-based LLSR Topic Request form, and from the Simply Schedule Appointments plugin. We do not intentionally participate in third-party analytics.

What automated decision making and/or profiling we do with user data

We do not participate in automated profiling. Human administrators use the data that you submit to serve your needs.
